What Actually Drives Excavator Parts Prices

Two suppliers, one part number, and prices that differ by a third. Buyers reasonably assume someone is overcharging. Usually the truth is more boring: two quotations that look alike often contain different grades, different freight and different delivery terms, and neither supplier is lying. Eight Lines Sit Inside Every Quotation

1 โ€” Factory cost and volume tier.The same part carries different prices at different order quantities. This is the least mysterious line on the list.
2 โ€” Grade.Genuine, OEM-quality, aftermarket and reconditioned are four different products with four different prices. A quote that does not state the grade is not a comparable quote โ€” we discussed this in detail in our guide to part-grade economics.
3 โ€” Packaging.A 60 kg pump travels in a wooden case, not a cardboard carton. Case-making, rust protection and inner packing are real costs, and they are the reason a heavy item sometimes shows freight that looks out of proportion.
4 โ€” Freight mode.Air express, air cargo, sea LCL and sea FCL differ by a factor of several. Urgency is expensive, and it is the buyer's choice to make.
5 โ€” Incoterm.EXW, FOB, CIF and DDP move the same goods with different responsibilities attached. Only a like-for-like term makes two quotes comparable.
6 โ€” Currency and payment terms.Exchange rates and payment structure are priced in. A supplier carrying credit risk for ninety days will price that risk somewhere.
7 โ€” Duty, tax and destination charges.Terminal handling, customs clearance and inland delivery are real money, and they are frequently the hidden part of a "cheap" quote.
8 โ€” Documentation and after-sale support.Commercial invoice, packing list and correct HS codes look trivial until a container sits in customs because they were wrong.

Freight Is Usually the Biggest Variable

On small, light, high-value items โ€” sensors, injectors, seal kits โ€” freight is noise. On a main pump, a cylinder or a set of undercarriage components, freight can be a significant share of the landed cost, and it behaves in ways that surprise first-time importers:

Volumetric weight governs air freight.A bulky but light carton of filters may be charged on its volume, not its mass. Efficient carton sizing is a genuine cost saving.
Sea freight is cheap per kilogram and expensive in time.Three to five weeks door to door is normal on many routes, and the machine waiting for the parts is the real cost.
Consolidation helps.Combining several part numbers into one shipment usually beats shipping them separately, and it is one of the simplest savings available on a mixed order.

Why the Cheapest Quote Often Is Not the Cheapest Purchase

No grade stated.The most common reason a quote is cheap. Ask, and the price sometimes changes.
Freight excluded.A headline number with a separate surprise is not a quotation; it is a conversation.
Non-original part number.Sometimes legitimate, frequently the beginning of a fitting problem. A number that cross-references badly costs days of machine time.
No identification support.A supplier who cannot tell you whether a part fits by serial number is passing the risk to you.
No documentation.Missing HS codes and an incomplete packing list turn into storage fees at the port, which can exceed the saving.

How to Compare Two Quotations Properly

The exercise is simple and rarely done: convert both quotes to the same terms, then add everything.

Step one.Ask both suppliers for the same Incoterm โ€” CIF to your port is usually the fairest comparison โ€” and for the grade in writing.
Step two.Add duty, customs clearance, terminal handling and inland delivery to the destination, for both.
Step three.Add the cost of downtime for the realistic lead time of each offer. This is where air freight frequently justifies itself.
Step four.Add the risk of a wrong or failed part โ€” and ask each supplier what happens if it is wrong.

Run that comparison honestly and the spread between quotes usually narrows to something explainable rather than something suspicious. Where it does not narrow, the difference is grade โ€” and that is a decision for the buyer, not a trick by the seller.

Can I get fixed prices for a year?On fast-moving numbers, fixed annual pricing is difficult; on a defined list with planned volumes, a supplier can often commit to a price band.
