The Pre-Season Parts Stocking Plan for Excavator Fleets

Machines stop for missing small parts, not missing engines. How to build a shelf list that survives winter, the freight season and Chinese New Year.

The Pre-Season Parts Stocking Plan for Excavator Fleets

Ask any fleet manager which parts actually stopped machines last season, and the list is never glamorous. No one lost a week to a missing swing motor — they lost days to a missing filter, a seal kit that was "on order", a solenoid that could have been air-freighted in 48 hours if someone had known it was critical. Downtime is rarely caused by parts nobody stockeds; it is caused by small parts nobody thought were worth stocking. Corbay is the international export brand of Guangzhou Shenyue Machinery Technology Co., Ltd., Guangzhou, China. We ship to fleets in more than 30 countries, and this is the stocking conversation we have with every serious buyer before their season starts.

Start With the Parts That Stop Machines

The shelf list almost writes itself once items are sorted by what happens when they are missing:

Filters — engine oil, fuel, hydraulic, air.The single most stopped-machine item in the trade. Keep at least one full service set per machine per interval, and match them to the machine's own service documentation — the machine manufacturer publishes the intervals we quote against.
Fuel system small parts.Injectors for the engine family, feed pumps, hand primers, and the sealing washers and clamps nobody remembers until they are leaking.
Hydraulic small parts.Solenoid valves, pilot filters and seals, one pump seal kit per machine class, hose ends and O-ring boxes. A pump seal kit costs little and saves a cylinder-down day.
Driveline consumables.Final drive and swing gearbox oil, travel brake seals, and the magnetic plugs worth checking at every service.
Electrical.Batteries, relays, fuses, sensors for the engine and hydraulic system, and — for larger fleets — one spare monitor or controller per model family.
Undercarriage and ground-engaging wear items where the work demands it: pins, bushings and edge segments planned for the season, not discovered mid-job.

ABC Logic: What to Buy Deep, What to Buy On Demand

A items — stock them, always.Cheap, failure-prone, machine-stopping: filters, seals, belts, hoses, sensors, solenoids. Depth here is cheap insurance; a month of A-item cover per machine class is the baseline we recommend.
B items — stock one, reorder on use.Planned replacements with warning signs before failure: injectors, turbochargers, alternators, cylinders' seal kits. One shelf unit per class, replenished the week it is used.
C items — do not stock; contract for speed.Expensive assemblies — pumps, motors, reductions, engines. They are too valuable to shelve, and with a supplier who holds them in Guangzhou stock, air express beats shelf space. What matters is having the quotation ready before the failure, which is what our filter and maintenance kits page and its sibling product pages are for.

The team at Guangzhou Shenyue Machinery Technology Co., Ltd. turns a fleet list into a shelf list like this in one working day: send machine models, serial ranges and annual hours, and the reply sorts every likely item into A, B and C with grades and prices — genuine, OEM-quality or aftermarket, stated line by line.

Shelf Life: Stocking Parts Without Wasting Them

Rubber ages on schedule.Seals, O-rings and hoses have a real shelf life — rotate oldest first, keep them boxed, off concrete and out of the sun.
Batteries want care, not shelf space.Store charged, disconnected and cool, and rotate on a fixed cycle.
Paper elements stay sealed until fitting; a filter opened early is a filter half used.
Paperwork travels with the parts.Part number and grade on the box, not just on the invoice — so the right item is fitted even when the storeroom is staffed by someone new.

Timing the Calendar: Freight, the Show, and Chinese New Year

Two dates shape every parts order placed in China. The first is bauma CHINA 2026, running 23–27 November in Shanghai — the official show site has the full program. Our team has exhibited at every edition since 2016 and will be at booth E4.187; buyers planning a stocking round can meet us there, put faces to the quotation desk, and leave with the shelf list started — see our exhibitions page for details. The second is Chinese New Year, which closes factories and forwarders for weeks: orders placed in November and December ship from stock in normal time, while orders placed in late January compete with the pre-holiday spike and reduced staffing. For any fleet in the northern half of the world, the window between these two dates is exactly when the season's shelf list should be placed — and for southern-hemisphere buyers, the same window works as the head start on their own coming season.

Parts Stocking — FAQ

Can you build the shelf list for a mixed fleet — Kobelco plus other makes?Yes. We specialize in Kobelco-class parts and supply 100+ brands; send the fleet list with models and hours and the A/B/C split comes back with grades and stock status for each line.
How is a stocking order packed for a humid or coastal climate?Export orders leave our warehouse in moisture-protected cartons, itemized by part number and grade, with heavy items segregated from seals and filters so nothing arrives damaged.
Can stocking orders be split across shipments?Yes — common practice is to ship A items immediately from stock and consolidate B items into a scheduled consolidation, which also smooths freight cost.
