What is the most important thing to include in a parts enquiry?

The part number, plus the machine model and serial number. If the part number is unavailable, photographs of the old part and the data plates are the next best thing. Missing identification causes more delay than price negotiation ever does.

Can a supplier quote from a description alone?

Sometimes, but never safely. Descriptions such as 'an injector for an SK200-8' match several different numbers across the model family. A technical supplier will treat a description as a starting point for questions, not as an order.

How quickly should I expect a quotation?

For in-stock items with complete identification, a same-day or next-morning quotation is a reasonable expectation. Items that need supersession research or a factory check legitimately take longer — but a good supplier tells you which category your enquiry falls into.

The Excavator Parts Enquiry Checklist

Here is a truth from the other side of the inbox: the speed of a quotation has almost nothing to do with how busy a supplier is, and almost everything to do with how the enquiry was written. A complete enquiry is quoted in minutes. A vague one starts a three-day conversation. This checklist is the one our technical team would hand to every first-time buyer.

The Eight Items

1 — Part number.Complete, including the suffix. VH15613E0120, not "the fuel filter". Read it from the part or the parts book, never from memory.

2 — Machine model.SK200-8, SK210LC-8, SK350-8. The model is context; the part number is the order.

3 — Machine serial number.Confirms build variant and lets us check supersessions properly.

4 — Engine number.On HINO-powered machines, essential for anything fuel-system or engine internal.

5 — Quantity.One piece or ten changes the packing, the freight and sometimes the price. Wholesale pricing applies from single items upward.

6 — Photographs.The old part, the number stamped on it, the data plates. Three photos replace twenty emails.

7 — Destination city or port, and the urgency.This decides air versus sea, and the freight line on the quotation.

8 — Grade preference.Genuine, OEM or aftermarket — or ask us to quote all available grades side by side and decide with real numbers in front of you.

Two Enquiries, Side by Side

The difference is stark, and it repeats every single week.

Enquiry A."Hi, price for a hydraulic pump for SK200-8." → Which pump family? Which generation? New or rotating group? Original or OEM? The reply must ask four questions, and the day is gone.

Enquiry B."Need 1 pc main pump for SK200-8, serial YM02-12345, pump nameplate attached, machine works 8 hours a day in Nigeria, need it in Lagos by air — please quote genuine and OEM." → Confirmed number, two grades, a lead time and freight, same day.

Buyers consistently underestimate how much of the delay they control. In our own records, enquiries that arrive with a nameplate photo are quoted on average several working days earlier than enquiries that arrive without one — and they almost never result in a returned shipment.

What Happens After You Send It

It helps to know what is being done with your email, because it explains why some questions get asked:

Number check.The part number is matched against our catalogue and against the machine's parts book — including supersessions, where an older number has been replaced by a newer one.

Stock check.Is it on our shelves, in a factory, or made to order? The quotation should say which.

Grade line.Each item is marked genuine, OEM or aftermarket. No item leaves our desk without it.

Freight and lead time.Quoted against your destination and your deadline, not left for you to discover.

Our technical team each have more than ten years on Kobelco and HINO parts — and free part-number identification is part of the service, whether or not you buy. If you have a number you cannot place, a component maker's own site is occasionally a useful cross-reference, but a specialist with the parts book will usually be faster.
